X-PO v2 is the complete rebuild of our events platform β events, membership, CPD, payments, voting, documents and communication in one modern system. This page is the tour: what exists today (tested on real data, real money, real phones) and what's coming next.
We migrated our complete KDA history into v2 and proved the numbers match the old system line by line.
Today we run separate systems for events, membership work and surveys β copied and re-edited for every client. v2 is one platform, many organisations: each association (KDA, KPA, LSKβ¦) gets its own space, branding and rules on the same engine. Build a feature once, every client gets it.

The moment someone registers for an event, v2 can produce their badge as a print-ready PDF β name, chapter, their role at the event (Speaker, Delegate, Exhibitorβ¦), the event title, and a scannable QR code. Same engine produces CPD certificates and membership cards. No designer, no Word templates, no typing names one by one β it comes straight out of the registration list, in seconds, for one person or a thousand.

Every item below has been verified end-to-end on the live server β not on slides. Where money, messages or scanning were involved, we tested with a real phone and real shillings.
Each of these is built and working today unless marked otherwise.
Every event defines who attends β Delegate, Student, Speaker, Exhibitor, NGC, LOC, Invited Guest β and each type carries its own fee rule. Early/Late/Onsite pricing is just a date window on the same event, not three separate lists.
Speakers, NGC and LOC pay nothing β and are never even shown a payment step. The system knows their type is fee-exempt and confirms them instantly. And only organisers can assign the free types, so nobody can register themselves as a βSpeakerβ to dodge the fee.
Invoices, STK push to the member's phone, automatic settlement the moment they pay, and receipts β no manual reconciliation. If a payment confirmation is ever missed, the system checks with Safaricom itself and self-heals the record.
Dues can split automatically between National and the member's Branch β the lesson we learned from KPA, now standard.
Every badge, certificate and member card carries a QR code. Scanning it opens our verification page showing ββ Authenticβ with what was certified β or ββ Not verifiedβ for a fake. Anyone can check: an employer, a gate steward, a regulator.
The voter roll is frozen when the election opens, ballots are secret (stored separately from who voted), every voter gets a receipt to confirm their vote was counted, and the ballot box is chained so that changing even one vote is detected mathematically.
Two modes, because that's reality: native CPD the platform awards automatically when attendance is scanned at a session, and external CPD (issued by other bodies) that we upload and distribute to members. Members see their live points balance and what they still need for renewal β with a certificate download for every point earned.
Email, SMS and (soon) WhatsApp from one place, to everyone or one branch. Every email address is checked for validity before we send β bad addresses are skipped, not bounced, which keeps our sending reputation clean. Sends are queued with automatic retries, and members' opt-outs are respected automatically.
Anyone β member or not β can lodge a complaint and receive a reference plus a private tracking code. They follow their case (lodged β in progress β resolved) without needing an account, while staff manage the register with a full action history.
Members post jobs, equipment sales, clinic sales and opportunities. Every advert goes through review and approval with a full audit trail; an optional listing fee is invoiced and paid through the same M-Pesa rails. Listings publish, count views, and expire on schedule.
Packages, sponsor content pushed to members, and β new β a report showing each sponsor exactly what they got: impressions, unique members reached, cost per impression. Members can also apply for sponsored places (bursaries) with a proper approve/reject workflow.
National β branches/chapters β chapter units, exactly how associations are structured. Branch admins see only their branch; national sees everything. A member's role at one event (Speaker) no longer pollutes their permanent membership record.
One call gives an attendee their whole conference: events registered, fees due, the session agenda with CPD values, what they've attended, live points balance and every certificate. The mobile app plugs straight into this.
Nightly database backups, an isolated runtime that cannot disturb the current live systems, audit logs on every sensitive action, and a self-test that checks the core machinery every time we change it.
EventsAir was the app we were asked to match. We tore it down feature by feature, took what earns its keep, skipped its weaknesses β and built it all on the things EventsAir structurally cannot do: membership, dues, chapters, statutory CPD and M-Pesa.

None β any printer we already own works. X-PO generates each badge as a normal print-ready PDF (the system designs it: name, role, chapter, event, QR). Print on paper or card on any office printer, or skip printing entirely β the attendee can show the QR on their phone and it scans exactly the same. There is no special badge printer, ribbon or consumable to buy. Ever.
The current system keeps running untouched until v2 fully takes over β they don't even share software. We've already copied all KDA data into v2 and proved it matches, so the switchover is a decision, not a scramble. Nothing in v2 can write to the old system's database β we made that physically impossible.
Yes β by design. An attendee type like Speaker, NGC or LOC is marked fee-exempt, so the system confirms them without ever raising an invoice or showing a payment screen. And only organisers can assign those types, so a regular member can't self-select "Speaker" to attend free.
On our own server at xpo.sternumbusiness.com, secured with HTTPS, backed up automatically every night, and isolated from every live client system. Payments run on our own M-Pesa paybill; email and SMS go out under our own sender identities.
